Job Description

This is a hybrid teleworking position, with the expectation that you will be working at our office location in Millersville, MD a few days during the work week.

What You Will Do

Receptionist is a member of the First Impressions Team and reports directly to the Office and Facilities Manager. This position supports The Coordinating Center’s commitment to superior customer service (to coworkers, clients, and contractors) and dedication to excellence. The Receptionist is responsible for performing administrative support tasks in our office setting and remotely to support daily operations of The Center. The Receptionist’s duties include answering and transferring phone calls using switchboard technology, sorting and delivering mail to employees, greeting visitors, and completing special projects.

As a Receptionist, you will:

  • Answer telephones using switchboards to route callers to the appropriate individual or taking messages to coworkers, clients, and vendors are handled in a professional and courteous manner.
  • Greet incoming visitors to The Center in the lobby and notifiy coworkers awaiting visitors upon their arrival.
  • Provide support for fax transmittals including e-faxing, ensuring that the received fax is forwarded to the appropriate recipient.
  • Collect, organize, and distribute all incoming mail including express mail carriers and coordinate outing mail, including bulk mailing, to ensure timely pickup.
  • Support to The Center’s leadership team to include developing memos, reports, and correspondence, as well as a variety of other clerical/administrative duties to include photocopying, data entry, organizing documents, mail merges, and filing.
  • Monitor The Center’s unanticipated leave box and manage the supervisor notification process, including updating Outlook calendar and the attendance system Paylocity.
  • Demonstrate the ability to respond to changing situations in a flexible manner to meet current needs, such as reprioritizing work, as necessary.
  • Provide support in the delivery of the Office and Facilities orientation with new coworkers, as requested.
  • Provide support to The Center’s Finance and Accounting Department with petty cash management and recording of Accounts Receivables.
  • Assist the Office and Facilities Manager with set up and break down of conference rooms for events and meetings, as requested.
  • Complete specialized projects, as requested (e.g., business card printing, new coworker orientation onboarding, etc).
